Spelling Bee Contest 2007

Hi guys!

It's been months since I updated you with what's happening for Creative Educational Interventions.

First, our documentation was put on hold for some personal and red tape reasons. Heheheh! This actually further widened Claire's horizons and mine about our services for everyone.

We now move on to our post title...

Claire and I (of Creative Ed) together with Ms. Diyan Bocalan and the rest of The Children's Library (TCL)Robinson's Imus, with Ms. Jemma Zafra, also of TCL, have worked hand-in-hand to put up the Spelling Bee Contest by October 17, Wednesday, 130-530 in the afternoon at The Children's Library Imus. TCL Novaliches will be doing their Spelling Bee Contest today at The Children's Library Novaliches.

Calling ALL Grades 3 students:


Join this year’s Interschool Spelling Bee Contest!

The Children’s Library will be conducting its Annual Interschool Contest starting October until November. This year, finalists from the libraries will face off in a battle of wits at the Fountain Areas of Robinsons Place Novaliches and Robinsons Place Imus.

Interested participants may register at either TCL - Imus or TCL -Novaliches. Qualifying Exams will be held at TCL - Novaliches on October 12 and at TCL - Imus on October 17. Grand Finals will kick off on November 17 at Robinsons Novaliches and November 24 at Robinsons Imus. So start recalling your vocabulary and be ready to showcase your excellence in the mastery of words!

Registration is now accepted. You may also download the registration form, just follow the link and fill up the information required. For more information and details regarding submission of the forms, please call 935-3011 (Manila) or (046) 875-4410 (Cavite).

The meeting and dry-run we had last Saturday was a very succesful one. We had a brainstorming for the said event to polish on the mechanics of the game, rules and regulations for the mentors, coaches and players of school representatives.

Here's what we came up with:

QUALIFYING EXAMS
JUDGE COMMITTEE:

HEAD JUDGE / MODERATOR

o The Moderator handles all questions and queries from the participants as well as Mentors/Coaches ONLY AFTER EACH CATEGORY or during the break.
o Head Judge/Moderator will ALWAYS have the FINAL DECISION in all matters or concerns.
o Head Judge/Moderator will also explain the Rules and Regulations of the contest to the Mentors/Coaches as well as the participants. (In the case of TCL Nova, Host will be tasked to handle this.)

DICTIONARY JUDGE

o Dictionary Judge will mark down the words used during the contest proper per batch
o He/She will double check reference materials in case there are queries/concerns raised.

PRONOUNCER

During the contest proper, the Pronouncer will:
o Give the word to be spelled
o Give the definition of the word
o Use the word in a sentence
o Repeat the word again
o The Pronouncer will say “Spell It!” to signal the participants.
o Remind the participants to keep their answers raised up until the judges announced the schools who have the correct answers.
o Give a general warning to the participants in case they violated rules in the competition.

TIMEKEEPER

o After the Pronouncer’s signal, the timekeeper will mark the start of the 10 second rule.
o The Timekeeper will announce time has expired by ringing the bell twice after exactly 10 seconds.
o Timekeeper also keeps track of the time of breaks, 5 minutes after each Category and 10 minutes after the Difficult Category by ringing the bell thrice before and after the break.
o Timekeeper is in charge over-all in keeping time and strictly following the program to ensure that there will be no cause of delays in all batches as well as in the FINAL ORAL ROUND.

SCORER

o Scorer will track and mark the scores of the participants
o He/she will post/reflect the correct spelling of the word by projecting it in the TV screen for reference
o Will take note of the points to be deducted from the participants who received the third and FINAL warning according to the rules violated

WATCHERS

o These are the Volunteer Students/Special Volunteers of TCL who are tasked to oversee the participants in accordance to the Rules and Regulations of the contest proper
o Watchers are tasked to notify the Judge Committee in the number of warnings per participant, most especially the scorer who will take note of the point deductions of the participant who received warnings
o Monitor the correct or acceptable manner of handwriting of the spelled word and inform the Judge Committee members if the answer of the participant is valid

DOCUMENTATION

o These are the Volunteer Students/Special Volunteers of TCL who are tasked to document the event through Video and Photos.
o Tasked to document the awarding of certificates through photo-op.

REGISTRATION COMMITTEE

o These are the Volunteer Students/Special Volunteers of TCL who are tasked to assist in the registration of the participants (first come first served basis) and arrange them in their respective batches.
o Tasked to also remind the Mentors/Coaches and participants who may come in late (if the contest proper has already started) to READ AND REVIEW the RULES AND REGULATIONS of the contest.
o Inform the other participants and their respective Mentors/Coaches of the other batches to wait for their turn according to the programme.

QUALIFYING EXAMS

GUIDELINES FOR THE MENTORS OR COACHES

1. Each speller must be accompanied by Mentor/Coach at the time and place of registration the day of the competition and must be present throughout the Spelling Bee or until such time as the speller has been eliminated from competition.

2. Mentor/Coach is anyone over the age of 18 who declares him/herself to The Children’s Library at the time of registration the day of the competition.

3. Only the identified participants and official Mentors/Coaches of the Batch during the contest proper are allowed inside the contest premises. Participants of other batches, their Mentors/Coaches, family members and friends are requested to settle on other areas within the mall and wait for their Batch’s turn to participate in the Qualifying Exams.

4. The participants of the Interschool Spelling Bee Contest – Qualifying Exams shall be grouped into batches.

5. The participants are selected according to a first – come, first - served basis according to their slot in the Registration desk. There will be four (4) Batches with the corresponding number of participants per batch:

a. Batch 1 : 27 participants
b. Batch 2 : 27 participants
c. Batch 3 : 27 participants
d. Batch 4 : 26 participants

6. There are 3 CATEGORIES – EASY, MODERATE and DIFFICULT. Per Category, there will be a total of 10 words that will be spelled by the participant.

7. In the Easy Category, participants will get exactly 1 point for every correct answer each spelling word. The Easy Category has an overall total of 10 points.

8. In the Moderate Category, participants will get exactly 2 points for every correct answer each spelling word. The Moderate Category has an overall total of 20 points.

9. In the Difficult Category, participants will get exactly 3 points for every correct answer each spelling word. The Difficult Category has an overall total of 30 points.

10. The Grand total number of points for all categories is exactly 60 points.

11. There will be a 5 – minute break after each Category.

12. During the 5 – minute break, the participants and Mentor/Coaches may discuss the previous Category’s answers, make last minute reminders to participants, as well as take a bathroom break.

13. After the 5 – minute break has lapsed; the participants and Mentor/Coaches are expected to be at their respective seats in time for the next Category. The Contest Proper will proceed with or without the participants as soon as the break time has ended.

14. The bell will ring thrice to signal the start and end of the Break after each Category.

15. The participants are given exactly 10 seconds to spell the word by writing it down using the provided writing materials. Only the official paper and pen provided by The Children’s Library shall be used.

16. During the contest proper, the Pronouncer will:

a. Give the word to be spelled
b. Give the definition of the word
c. Use the word in a sentence
d. Repeat the word again

17. The participants will have to wait for the signal of the Pronouncer before
they write down and answer the word to be spelled. The Pronouncer will say “Spell It!” to signal the participants. After the signal, the timekeeper will mark the start of the 10 second rule.

18. The Timekeeper will announce time has expired by ringing the bell twice. After exactly 10 seconds, Pronouncer will announce, “Markers down, answers up”. Written answers should be raised by the participant and evaluated by the Judges.

19. In the event that the participant started writing down the word to be spelled without the signal of the Pronouncer, a warning shall be given to the participant and to its Mentor/Coach. After the 3rd and final warning, the Judges will start deducting the corresponding points depending on the Category of the participant during the time that the 3rd and final warning was given.

20. The Pronouncer will announce the correct answer after all participants raised their written answers.

21. After announcing the correct answer, the Pronouncer will announce the names of the schools that got the correct answer.

22. The Judge Committee will tally the scores of the participants. The hard copy of the scores that are with the Judge Committee WILL ABSOLUTELY BE THE FINAL SCORES for the entire contest proper. The scores projected on the television screen are still subject to changes depending on the Judges’ decision.

23. All written spelled words are considered FINAL once it is raised by the participant. The participant must ensure that the letters of the spelling word re clear.

24. ERASURES are DISCOURAGED in the entire contest proper. If in case the participant has erasures, the participant must cross out the word erasure and must use a new page in the given writing material of TCL.

25. If the word to be spelled is a proper noun, the word must be Capitalized.

26. The Judges will announce the qualified participants per batch who are qualified for the Final Oral Round of the contest. This will determine the ten (10) finalists who will face off in the Grand Finals.

27. The Final Oral Round will be conducted after all the top 5 participants per batch have been selected. Participants shall spell the word out loud with a time limit of exactly 10 seconds. The format for answering in the Final Oral Round must be:

a. Say the word to be spelled
b. Spell the word clearly
c. Say the word again

28. Those who will be able to spell the given word correctly will automatically be included in the top 10. Participants who would not be able to answer shall be instructed to step aside and wait for his/her turn again to answer correctly in case the slots in the top 10 have not yet been filled out. This will be the elimination process until the ten (10) slots for the finalists have been finally filled.

29. During the contest proper, VERBAL INPUTS AS WELL AS BODY GESTURES ARE NOT ALLOWED. Failure to comply shall AUTOMATICALLY RESULT TO DISQUALIFICATION of the participant.

30. Cheering and Clapping will only be allowed AT THE BEGINNING AND END OF EVERY CATEGORY OR DURING BREAKS. If the given warnings are ignored, The Children’s Library has the right to usher the individuals outside the contest premises and there will be corresponding point deduction depending on the Category of the participant during the time that the 3rd and final warning was given.

31. On the occasion that one participant suddenly decided to withdraw during the contest proper, the contest will still proceed with or without the participant. The Judge Committee has the right to refuse a participant if he/she will pose a delay in the entire duration of the Qualifying Exams.

32. A Mentor/Coach may appeal to the Judges' decision regarding the scores of his/her speller by filing an appeal. The deadline for making an oral appeal is only after the Category has ended. No appeal will be entertained as soon as the next Category has already started.

33. The judges are in complete control of the competition. Their decision shall be final on all questions.

MECHANICS OF THE COMPETITION

Ooopps! Before I forget, The Children's Library Imus is expecting 107 school participation for the upcoming Spelling Bee Contest on Wednesday, October 17, 2007. This is the first event for TCL and we are very excited about it. It is also good to note that Creative Educational Interventions worked very closely with The Children's Library for this.
